In our society today, the use of teamwork is essential to achieving our objectives as people, businesses, and a global community. When a group of people are working together to try to achieve the same goal, they are given the opportunity to share ideas, and get a more diverse range of skills and attributes that these people bring to the team. But even though teamwork plays a key role in achieving goals successfully, if a team is not able to communicate with one and other, it becomes very difficult to be successful.
In order to make sure that there are no communication barriers when trying to achieve a goal, it becomes necessary to set up a meeting. A meeting gives people the opportunity to put their ideas and opinions on the air. This allows everyone to see a concept from different angles and perspectives, which is effective in achieving a goal successfully. When setting up a meeting, the following should be considered:
1. You want to know who your audience is, how many individuals will be attending this meeting, and what you will be holding this meeting based on.
2. Find a location that will be suitable for your meeting. This place should be relatively quite, it needs to be big enough for the group of people in the meeting, and generally needs to be laid out so that eye contact is easy.
3. Comfort is a key element for a meeting to have a successful flow. Some ways to obtain this comfort is by putting out candies and snacks on the table. This allows people to eat a candy if they want to, and potentially can make that individual feel more comfortable. Also putting water at the back of the room allows people to get water and stretch their legs, without disrupting the meeting.
4. Now that your meeting is ready to get started it is key during a meeting that everyone has a voice. In order for a goal to be achieved successfully, people have to be able to freely communicate. This refers to people being able to talk without interruptions, which allows many different ideas to be put on the table.
By following these fundamental steps, you will be completely successfully in organizing a group meeting!

The other day I had to set up a small meeting with some group members for a project at school. I felt that during the meeting, there were a lot of people that wanted to express an opinion, which lead to a lot of people being interrupted. The best way to overcome this problem, would be by making the individual raise there hand, or wait for someone to finish talking, in order to make your own point. If there is a good communication flow in the meeting, it helps smooth out the whole process.

ReplyDeleteThese are all great tips for ensuring the success of meetings but i was wondering if you could give me your opinion on having food at meetings. Is it really appropriate? I mean there are a lot of different cultural accommodations to make, strict and religious dietary needs to be met. Also would it not be distracting for the presenter? If I was making a presentation and people constantly got up to get food at the back of the room, i might have to reiterate facts for them or even lose my own train of thought. Give me your take on the whole thing
This is a really good point to arise Sufian, personally I feel that it's best to stay away from food at a meeting. The reason that it is a bad decision to include a heavy amount of food at a meeting is because it creates distractions an an unwanted level of discomfort. People may no be able to eat the food that is provided, or potentially get grossed out by the way that another individual is eating. The most effective way to avoid these problems if you are insistent on providing food, is by providing "finger foods" or "candy". This gives those whom want to eat something to help them relax the opportunity to do so.

ReplyDeleteGroup meeting is required for development of every business. You described major points required in a team meeting. You can also include the agenda of meeting in the main points.
